Estimating the Size of the Rental Stage
Determining the appropriate stage size is a critical step in event planning. To accurately estimate the size you’ll need, several factors come into play.
If you have multiple bands in your festival, then ask the headliner. They should have a technical rider that will explain their needs for stage size, as well as their needs for audio and lighting. They should also have a stage plot that shows the layout of their instrumentation. If they don’t have this in their contract, call their production manager and ask.
A small stage in front of a large audience makes the production value seems very small. However, a large stage in front of a small crowd can make your event look poorly attended. There are exceptions – private and corporate events will often have a headlining act that requires a larger stage for a relatively small group of people.
Outdoor festivals need sponsors, and sponsorships for the main stage or secondary stage at festivals will have banner requirements. Many times, a sponsor can make the decision to increase the stage size to make their banners (and logos) more visible to the audience.

There are three types of stages used in outdoor festival, and each have their advantages and disadvantages. Here’s the three types of stages that are commonly used for outdoor music festivals:
Shade Rooftops:
Shade rooftops are the most economical stage and cover available for outdoor music festivals, especially for muti-day events. They are very customizable, and the work well on grounds with sensitive surfaces, such as football fields and soccer fields. They can only accept ground supported PA and limited lighting, so they work better with lesser-known bands. The term “shade roof” means they are great at protecting your talent from the sun and from light rain. However, they do not protect well in heavy rain environments.
Mobile Stages:
Mobile stages are the workhorse of the music festival world. Mobile stages use hydraulic lifts for the stage cover, and they work well on concrete and level ground. They are very easy to setup and are economical on one-day events. Mobiles stages, like the other stage types listed here, have different sizes to make sure your band or event is well-represented. They can accept a greater amount of lighting and PA than a shade roof, however, they are not as flexible with sensitive surfaces or moderate changes in height of the surface area where the stage is planned to go.
Load Bearing Rooftops:
Motorized rooftops (also called “self-climbing rooftops”) are used in the largest and most complex festival types, and are usually only available in larger sizes. These motorized structures are made of aluminum and are lifted by using theatrical motors. They are flexible and can be configured for video walls, large banners, and specialty lighting. These structures are used in orchestral events and large national acts. Many times, a long term rental will happen with these types of structures, as they are more economical than a mobile stage in a long-term rental.
